Review what happened
Open Leads and choose the date range you want to review. Check Voice and Web separately when you need to focus on one source.Voice leads
Open the call. Read the summary and To do list, then listen to the relevant part if you need more context. Follow through on the caller’s request, such as answering a question or returning a requested call.Web leads
Review the available contact details, website, campaign and status. Check your existing customer records for context, then decide on an appropriate next step under your team’s contact policy. A website visit is not the same as a submitted inquiry. If a detail is missing, use what is available. Do not guess a customer’s needs from a name or website visit alone.Give the follow-up an owner
In the CRM or task list your team already uses, record:- Who is handling the lead
- What the person asked for, when there is a request
- The next action and when it is due
- Whether someone on your team has already responded
Keep the response relevant
Use the contact preferences and permissions your business has on record. Respond to an actual request when one exists, and make the next step easy to understand. For example, when someone asked for a quote on a call:Hi [name], this is [your name] from [business]. You asked us about [service]. I can help with [next step]. What is the best time to go over it?Adapt the message to what the caller actually said. Stop follow-up when someone asks you to, and record that preference in the system your team uses.
